Withdrawal, scholarship renunciation and exclusion
Renouncing the scholarship, withdrawing from the PhD Programme and losing PhD candidate status are different situations with different academic, administrative and financial consequences. Identify carefully which situation applies before taking any action.
01 · SCHOLARSHIP
Renounce the scholarship
Give up the financial support while continuing the PhD, where permitted by the applicable rules and funding conditions.
02 · ENTIRE PHD
Withdraw from the PhD
Voluntarily and permanently terminate your doctoral career.
03 · STATUS
Exclusion or forfeiture
Loss of PhD candidate status as a consequence of circumstances expressly provided for by the applicable Regulations.

Rules may differ according to your cycle and funding
The current University Regulations Governing PhD Programmes apply to Programmes activated from academic year 2025/2026, Cycle XLI onwards. Candidates admitted in previous cycles must follow the Regulations applicable to their own cycle, together with the conditions established by the relevant Call, scholarship, funded project or agreement.
01 · SCHOLARSHIP RENUNCIATION
Renouncing the scholarship does not automatically mean leaving the PhD

Continue without the scholarship
A PhD candidate may formally renounce the doctoral scholarship while remaining enrolled in the Programme, where this is compatible with the applicable Regulations, the admission Call and any specific funding conditions. Academic and career requirements remain unchanged.
FINANCIAL EFFECT
Scholarship payments cease
The waiver affects the financial support associated with the position. The effective date and any additional consequences must be determined in accordance with the applicable administrative and funding rules.
SCHOLARSHIP RENUNCIATION FORM
Use this declaration if you intend to continue the PhD without the scholarship
Submit the signed declaration to the Advanced Studies Office. If your scholarship is financed through a specific project, agreement or external funding scheme, contact the Office before submission to check whether additional authorisations, communications or financial consequences apply.
HOW TO SUBMIT THE WITHDRAWAL
Complete the formal declaration

Use the current official withdrawal form.
2 · COMPLETE
Complete and sign the declaration.
3 · ATTACH
Include a copy of a valid identity document and any other required documentation.
4 · SEND
Submit the complete documentation to the Advanced Studies Office.

The current withdrawal form provides for the applicable €16.00 stamp duty, unless an exemption applies.
Funded positions: if your position is linked to a specific project, funding programme, agreement or partner institution, contact the Office before submitting the withdrawal so that any additional obligations can be checked.

What changes when the doctoral career ends

IMPORTANT FINANCIAL DISTINCTION
Voluntary withdrawal and loss of scholarship requirements are not the same
If a PhD candidate voluntarily gives up continuing the doctoral Programme during the year, the right to the scholarship is lost for the amount that has not yet been paid.
A different rule applies when a scholarship holder loses the legal or economic requirements required to receive the scholarship: under the current Regulations, the right to the scholarship is lost and amounts already received in the relevant calendar year must be returned.
03 · EXCLUSION FROM THE PHD
Exclusion is different from voluntary withdrawal
Under the Regulations applicable from Cycle XLI, a PhD candidate may be excluded from the Programme by the S.A.S. Board, on the basis of a reasoned proposal from the Academic Board. Exclusion entails loss of the right to the scholarship, where applicable, and loss of the right to obtain the PhD degree.
ACADEMIC ASSESSMENTS
Insufficient results
Insufficient results in ongoing evaluation tests may lead to exclusion.
ANNUAL PROGRESSION
Negative annual evaluation
A negative opinion of the Academic Board concerning admission to the following year may lead to exclusion.
WORKING ACTIVITIES
Unauthorised work
Working activities undertaken without the required authorisation of the Academic Board may lead to exclusion.
COMPLETION OF THE PHD
Failure to obtain the qualification
Failure to obtain the PhD qualification within the regulatory time limit following completion of the Programme, taking account of any authorised extension, may lead to exclusion.
ATTENDANCE
Unjustified prolonged absence
Unjustified and prolonged absence or prolonged unavailability may lead to exclusion from the Programme.
FORFEITURE AND CAREER CLOSURE
Mandatory career deadlines must also be respected
Following a positive annual evaluation, PhD candidates must complete enrolment in the following year and, at the end of the Programme, submit the application for admission to the thesis-review procedure within the deadlines communicated by the competent offices. Under the current Regulations, failure to complete these required steps within the prescribed deadlines entails forfeiture and consequent closure of the university career, without prejudice to documented reasons.
