PhD scholarship increase for mobility abroad
Mobility abroad
PhD candidates receiving a scholarship may be entitled to an
increase for authorised research or training periods abroad.
The procedure must be initiated before departure and completed with certification from the host institution.
≥ 50%
scholarship increase under the current general framework
1 month
normally the minimum continuous period
12 / 18
maximum months under the current general rules
Check the rules applying to your PhD position
Eligibility, duration and financial arrangements may vary according to the PhD cycle, funding source, call for applications, host institution or specific agreement.
Some funded positions may provide an equivalent mobility budget
instead of the ordinary scholarship increase.
Eligibility and timing
Verify the conditions before making travel arrangements
01 · ELIGIBILITY
Scholarship holders
The ordinary increase concerns
PhD candidates receiving a scholarship
and eligible under the regulations and funding conditions applying to their position.
02 · PURPOSE
Research or training abroad
The period must form part of the candidate’s
approved research and training pathway
and be scientifically relevant to the doctoral project.
03 · PRIOR REQUEST
Apply before departure
The request must be submitted
sufficiently in advance
to allow academic verification, financial checks and completion of the associated mission procedure.
Before departure
Documents required to initiate the request
01
REQUIRED DOCUMENT
Host invitation
Letter on institutional headed paper indicating the
host organisation, location, expected dates and planned activity.
02
REQUIRED DOCUMENT
Coordinator’s request
The PhD Programme Coordinator completes and signs the prescribed request for the scholarship increase.
03
REQUIRED DOCUMENT
Supervisor’s declaration
Declaration confirming that the proposed activity is relevant to the research project and forms part of the
approved study and research programme.
04
REQUIRED DOCUMENT
Travel registration
Registration with the Ministry of Foreign Affairs service dedicated to Italian citizens travelling abroad for study or research.
Separate but connected procedure
The scholarship increase does not replace mission authorisation
The candidate must also complete the applicable UNICAM mission procedure before departure.
Scientific approval, the scholarship-increase request and mission authorisation are connected but distinct requirements.
Changes to the authorised period
Communicate changes before the original period ends
EXTENSION
Extending the mobility period
An extension normally requires an
updated host letter, renewed confirmation and amendment of the existing procedures.
OTHER CHANGES
Dates, destination or early return
Changes to dates, destination, host institution or scientific activity, as well as an early return, must be
communicated promptly
so that authorisations and payments can be updated.
During and after the stay
The host institution must certify the completed activity
Content of the host declaration
The certification must be issued on institutional headed paper and signed by the responsible person at the host organisation.
It must state the candidate’s name,
the precise start and end dates and the activities actually carried out.
Monthly or at the end of the period
Monthly certification allows the increase to be processed progressively, together with the scholarship instalments, when complete documentation is received in time.
A single final certification may be submitted at the end of the stay; in that case, the increase is processed after verification.
