Acceptance and enrolment
FUTURE PHD CANDIDATES
Follow the steps from publication of the selection results to formal acceptance, enrolment and the start of your doctoral activities at UNICAM.
IMPORTANT
Acceptance and enrolment are separate procedures
For the general UNICAM Cycle XLII first-session Call, the acceptance deadline does not automatically begin on the date when the rankings are published. It begins when the candidate receives the relevant acceptance instructions or individual assignment proposal, as specified in the official ranking decree.
For the current second-session Regione Marche Calls, successful candidates must follow the specific acceptance procedure established by the relevant Call. Awarded positions must be accepted by 31 October 2026, together with any required documentation under the conditions communicated by UNICAM.
After accepting the position, candidates must complete the separate enrolment procedure within the applicable deadlines. Missing an acceptance or enrolment deadline may result in forfeiture of the offered position.
01
Check the ranking and assigned position
Consult the official final ranking corresponding to your admission procedure and verify your application identification number, PhD Programme, curriculum, research field, assigned research topic, scholarship status and any host institution or funding conditions.
For the general UNICAM Cycle XLII first-session Call, Annex 1 distinguishes between Admitted candidates, who are offered a specific position or scholarship, and Eligible candidates, who may be contacted if a position becomes available. An asterisk indicates an Under condition status.
The TAN first-session procedure has its own final rankings and official notices. Always follow the documents and instructions associated with the Call under which you applied. Publication of results through the official channels constitutes official communication where provided by the relevant Call.
02
Accept the position within the applicable deadline
Candidates awarded a position must formally accept the specific position or scholarship offered to them, using the procedure established by the relevant Call and subsequent official instructions. Carefully review the research topic, scholarship, funding body, host institution and additional obligations before submitting the acceptance.
FIRST UNICAM SESSION · ADMITTED CANDIDATES
5 working days from receipt of the acceptance instructions
Candidates listed as Admitted must complete and sign the acceptance form sent by the Advanced Studies Office and return it by email to dottorato@unicam.it within 5 working days from receipt of the instructions. If the candidate declines or does not respond within the deadline, they lose the right to the available positions or scholarships under the procedure.
FIRST UNICAM SESSION · ELIGIBLE CANDIDATES CALLED THROUGH RANKING SCROLLING
5 days from receipt of the assignment proposal
Eligible candidates must wait for an individual offer. If contacted following ranking scrolling, they must complete and sign the acceptance form sent by email and return it to dottorato@unicam.it within 5 days from receipt of the assignment proposal. The ranking decree does not specify working days for this deadline.
These first-session deadlines are calculated from receipt of the relevant communication, not automatically from the publication date of the rankings.
Second-session Calls: successful candidates in the Regione Marche-funded procedures must instead follow their specific Calls and accept the awarded position by 31 October 2026. Do not apply the first-session five-day rules unless they are expressly included in the instructions sent to you.
03
Ranking updates and reassignment of positions
When a candidate declines an offered position or fails to accept it within the applicable deadline, the position may be offered to another eligible candidate in ranking order. Eligible candidates should continue monitoring official notices and any individual communications from the Advanced Studies Office.
Under the general Cycle XLII first-session ranking decree, an eligible candidate may decline the scholarship or position associated with the first proposed research topic and request to remain in the ranking for other topics and corresponding positions that may subsequently become available.
Ranking scrolling for a specific topic remains subject to any objective eligibility requirements established by the Call. A candidate who does not meet the requirements for that topic cannot be considered for its reassignment. Declining all available offers or failing to respond within the prescribed deadline results in forfeiture of the right to available positions or scholarships, as specified in the decree.
04
Renunciation of the position or scholarship
Inform UNICAM promptly when you do not intend to accept an assigned position, so that the ranking can be updated without delay. Follow the instructions provided by the Advanced Studies Office and respect the deadline applicable to your admission procedure.
Renunciation of the scholarship while retaining the doctoral position is possible only where permitted by the relevant Call and applicable rules. For the first-session general UNICAM Call, eligible candidates who wish to decline only the first proposed topic while remaining available for other topics must explicitly follow the procedure described in the ranking decree and the individual instructions received.
05
Complete the enrolment procedure
After formally accepting the assigned position, follow the instructions issued by the Advanced Studies Office to complete enrolment and submit the required personal, academic and administrative documents.
The acceptance deadline and the enrolment procedure must always be checked against the relevant Call and the instructions communicated to the individual candidate. For first-session candidates, follow the communications associated with the published rankings.
Second-session Regione Marche Calls: successful candidates must comply with the acceptance and documentation requirements by 31 October 2026. The PhD Programme has a mandatory starting date of 1 November 2026.
06
Qualification obtained after the application
For the general UNICAM Cycle XLII first-session Call, candidates admitted Under condition because they have not yet obtained the required degree must obtain it by the date of enrolment and communicate its completion to dottorato@unicam.it within 5 days of obtaining the qualification.
Conditional admission may also relate to circumstances that are still being verified. The condition can be resolved only after the relevant checks have been completed or the required qualification has been obtained and communicated. Follow any further documentation instructions issued by UNICAM.
Current second-session Calls: this possibility does not apply. Applicants for the Regione Marche-funded scholarships must already hold the required admission qualification when submitting their application.
07
Final verification of foreign qualifications
Admission based on a qualification obtained abroad remains subject to verification of its authenticity, level, awarding institution and access rights to doctoral education.
Submit the final degree certificate, transcript, translations and any CIMEA documentation, Declaration of Value or other recognition documents requested in the relevant Call or enrolment instructions.
Second-session Calls: applicants with foreign qualifications must comply with the specific recognition-document requirements of the relevant Call by 31 October 2026.
08
Enrolment fees and required payments
Complete any payment required for enrolment within the stated deadline. The applicable amounts and payment method are determined by the Call, annual University provisions and the instructions communicated to admitted candidates.
09
Bank account and social security
Scholarship holders must provide an IBAN for a bank account held in their own name. The account is used for scholarship payments and any authorized reimbursements.
Scholarship holders must also register with the INPS Separate Management scheme and report any existing registration with another compulsory social security fund.
10
Visa, residence permit and healthcare
Candidates who require an entry visa must immediately follow the instructions provided by UNICAM and the competent Italian diplomatic authority. Visa issuance remains the responsibility of the relevant consular authority.
After arrival, complete the residence-permit and healthcare procedures applicable to your nationality and personal situation. Candidates living abroad normally finalize enrolment after arriving in Italy and presenting the required original documentation.
11
UNICAM credentials and institutional email
During enrolment, UNICAM activates the personal student career page and the credentials needed to access University services. The SAS Office also activates the institutional email account and services reserved for PhD candidates.
Check the institutional mailbox regularly. University communications are sent to that address, and official messages from the doctoral candidate should be sent using the UNICAM account.

12
Contact the Coordinator and Supervisor
After accepting the position, establish contact with the PhD Programme Coordinator and the scientific contact indicated for the research topic. They will provide information about supervision, research activities, workplace, programme-specific obligations and the initial training plan.
13
Start your doctoral activities
The official starting date is established by the relevant Call or subsequently communicated by UNICAM. Do not begin activities, travel or incur expenses before receiving the necessary institutional instructions and authorizations.
Cycle XLII second-session Calls: the mandatory starting date is 1 November 2026.
After enrolment, complete the initial career requirements, agree on the research and training plan and register your doctoral status in the national MUR profile using your institutional email address.
